Phase 07 · Queue Management
The queue shows today's confirmed appointments in time order. Use it to notify patients when it is their turn, reorder when needed, and pause if the clinic is running behind.
Queue tokens
Each appointment is assigned a queue token when it is confirmed — for example RK-003 (doctor's initials + sequential number). Tokens are shown on the waiting room TV screen and included in the confirmation WhatsApp, so patients can track their position without staff calling out names.
Go to Appointments and switch to the Queue view for today.
The current patient is at the top of the list in Confirmed status.
Click Notify Turn on that appointment. The patient receives a WhatsApp with their service name, current time, and clinic location. For online consultations, the Google Meet link is sent instead of the clinic location.
When the visit is done, click Complete & Call Next. This marks the current appointment complete, sends a review request to the completed patient via WhatsApp, and automatically notifies the next patient in the queue — no extra steps needed.
On any confirmed appointment in the queue, click the Move Up or Move Down arrow next to the appointment.
The appointment swaps position with its neighbour in the list.
The queue display on the waiting room TV updates in real time — no page refresh needed.
To pause a single provider's queue: go to Team, open the provider, and toggle Pause Queue. Save.
To pause the entire clinic queue: go to Dashboard and click Pause All. This affects all providers at once.
When paused, the "Complete & Call Next" action still marks the appointment complete but does not send the next patient a notification.
Toggle the same setting again and save to resume. Notifications for subsequent patients will send normally.
If a patient does not arrive for their turn, click No-show & Call Next on their appointment.
The appointment is marked as No-show and the next patient in the queue receives the "It's your turn" WhatsApp automatically.
The skipped patient remains in the list as No-show. You can follow up from the WhatsApp page later.
